
As a multi-hyphenate professional—educator, conductor, casting director, consultant, and nonprofit leader—I manage a wide range of responsibilities every day. To help keep things running smoothly, I am seeking an Executive Assistant to work and collaborate with me.

This role is ideal for someone with flexible availability who enjoys variety and thrives on organization. It’s also a unique opportunity to gain hands-on exposure to the music and entertainment industries, including nonprofit arts management, artist contracting, live entertainment, and organizational change/leadership consulting.

Work Location
This is a hybrid role with a balance of remote and in-person responsibilities. Approximately 70% of the work can be completed remotely, while about 30% will require in-person presence. My home office is based in Irvine, CA, with additional work frequently occurring throughout Orange County and occasional drives to LAX.
Candidates located within Orange County are strongly preferred for ease of in-person support, though I am open to discussing fully remote options with highly qualified candidates who demonstrate strong organizational and communication skills.

Scheduling
The Executive Assistant is expected to average approximately 5–10 hours of work per week, though this may fluctuate from month to month depending on projects and workflows. Most tasks can be completed on your own schedule, provided that agreed-upon deadlines are met.

This role carries inherent flexibility in how and when the work is completed. At the same time, regular responsiveness is essential. You should expect to reply promptly to calls, texts, and emails within agreed-upon working hours, with occasional needs outside of those times. Some commitments—such as scheduled meetings, airport drives, or event support—will require specific availability and will be communicated as far in advance as possible.

While I strive to maintain a healthy work–life balance for myself, I also want to preserve that balance for my assistant. That said, music and entertainment often operate on a 24/7, 365 schedule, so this position requires a balance of flexibility, responsiveness, and reliability.
Responsibilities
& Tasks
Core Responsibilities:

Manage calendars, appointments, and scheduling across multiple professional roles.

Provide personal and logistical support at rehearsals, sessions, and performances (note-taking, setup, errands, meal/coffee runs).

Assist with communication management, including inbox organization, call screening, and handling press/media inquiries.

Collaborate weekly on social media and content creation: drafting posts, capturing photos/videos, editing media, and scheduling across platforms.

Attend select meetings to take notes or prepare summaries.

Draft, review, and negotiate basic contracts, invoices, or agreements.

Track receipts, organize expenses, and maintain accurate records for reimbursements and tax filings.

Run errands and provide local driving support (including regular airport runs).

Participate in weekly check-ins to plan priorities and workflows.
​Occasional & As-Needed Responsibilities:

Book and rebook travel, accommodations, and rentals while maintaining accurate records.

Proofread and edit documents, media, or communications; review lengthy materials and prepare executive summaries.

Conduct research on services, products, or vendors.

Update contact lists, databases, websites, and other informational assets.
Required Qualifications & Skills

Valid driver’s license, reliable car with insurance, and a clean driving record.

Strong organizational skills with exceptional attention to detail and accuracy.

Ability to learn new systems, tools, and procedures quickly and follow directions closely.

Clear, professional communication skills (written and verbal), with responsiveness to calls, texts, and emails.

Absolute discretion and ability to maintain confidentiality at all times.

Proficiency with common productivity and content tools (Google Workspace, Microsoft Office, Adobe/Canva or similar).

Professionalism, punctuality, and reliability.

Cultural awareness, sensitivity, and respect for the identities and needs of others.

(Preferred but not required) Ability to read modern Western music notation.
Preferred Qualifications & Skills

Neat and professional presentation in written notes or materials.

(Bonus) Basic keyboard/musicianship/aural skills.

(Bonus) Experience with travel logistics and the judgment to anticipate challenges (e.g., avoiding weather-impacted connections).
Perks & Compensation
This position is offered as an independent contractor role (1099-NEC) with a base retainer of $600/month.

The retainer covers an average of 5–10 hours of work per week, with flexibility in how tasks are completed so long as deadlines are met and responsiveness expectations are maintained.

Additional project-based compensation may be offered for tasks outside the regular scope of work.

Reasonable business expenses necessary to perform the role will be covered.

Occasional business meals are included.
